Wedding Reception Information
We are pleased that you selected Royal Oaks Country Club for your Wedding Reception. We will do everything possible to make this very special day a lovely occasion from beginning to end. We strive toward excellence with a personal touch. We urge you to assist us by providing us with the information necessary to see that all details are exactly as you envision.
Listed below are a number of items that will be of interest in your planning:
All Catering (food and beverage) must be provided by the Club, with the exception of the Bride’s and Groom's cakes. Royal Oaks will cut the cake at no extra charge.
We do have a per person food minimum for Wedding Receptions:
- $25.00 per person minimum for Receptions before six o’clock.
- $35.00 per person minimum for Receptions six o’clock and after.
Rooms Available for Receptions:
Grand Ballroom (225 to 300 persons)
Pricing
Pricing estimates are valid for 90 days and may change according to market conditions. All food and beverage charges are subject to a Banquet Gratuity of 20% and appropriate state sales tax. We also tax the gratuity.
Deposits and Payments
Royal Oaks will confirm bookings within 18 months of a function. To reserve space for a Reception on Saturday evenings, the following deposit is required:
The Grand Ballroom - $1,500.00
Sponsored Receptions are charged a room charge and the full estimate payment is due two weeks prior to the Reception date. We have certain restrictions on floral decorations, which should be discussed with the Catering Manager. When decorating the staircase, if the host of the party or the florist does not remove the decorations that evening, there is a charge of $100.00 for the Royal Oaks Staff to remove them.
The House Committee and the Board of Directors do not allow rice, paper petals, sparklers or any types of paper to be used and/or thrown on the premises. However, real rose petals, birdseed and bubbles are permitted. Anything thrown inside the Clubhouse (i.e. birdseed) must be cleaned up and will result in a cleanup charge.
Royal Oaks will provide all service staff, bartenders and attendants to cut and service the cake; all tables draped in white; all china, glassware and cocktail napkins; and room setup and cleanup. Ask the Catering Manager about special linen for the cake tables at an additional charge of $25.00 per table or you may bring in your own.
In planning food service for a reception, we charge by the piece, not on a per person basis. The amount of food and price will depend on the length of the reception and the number of people. We would like to assist you in your selection of food items so that your table will be balanced and look attractive. All beverages will be charged on consumption.
Royal Oaks requires valet parking service for all Wedding Receptions at an additional charge. The number of parking attendants is based on the number of guests attending your reception. The charge for valet service is based on 4 hours at $85.00 per attendant, plus the 8.25% sales tax. Should you require a coatroom attendant due to inclement weather, the charge is $50.00 plus sales tax.
There is an $85.00 security charge if your Band/DJ should play later than 10:00 p.m.
Cancellations
Six months’ advance notice must be given to avoid a cancellation fee in the Grand Ballroom for Saturday events. The Grand Ballroom cancellation fee is $1,000.00 In the event the room is booked, a full refund will be applied. Cancellations made within 72 hours prior to an event will be subject to the anticipated charges or a flat set-up fee, depending on the set-up.
Extra Labor
All pricing is based on a 4-hour event. If your party should exceed 4 hours, there is an extra labor charge of $250.00.
